AI, in plain terms

Not a chatbot.
A system that does the work.

What AI is

Software that can read, write and decide within rules you set. It handles the routine version of a task the way a trained person would, and flags anything unusual.

What it isn’t

Not a robot, not magic, not a replacement for your team. It doesn’t know your business until you connect it to your information, and it makes mistakes if you let it work unchecked.

What it needs from you

One clear process, access to the information that process uses (your emails, spreadsheets, systems), and one person who checks the exceptions. That’s it.

Where it pays off

Six places
it pays off first.

AI pays off where a repetitive process runs end to end, in a business with 10 to 250 people.

Customer enquiries

Today: emails and calls answered by whoever is free, hours later.

With a system: answered in minutes from your own information, with a person only for the unusual ones.

Quotes & follow-up

Today: quotes take days to go out and nobody chases them.

With a system: drafted from your pricing rules the same day, followed up automatically.

Documents & data entry

Today: invoices, orders and forms retyped by hand.

With a system: read, extracted and entered, with a person checking the exceptions.

Reporting & forecasting

Today: numbers pulled together in spreadsheets before anyone can decide.

With a system: a report every morning, anomalies flagged the same day.

Operations & workflows

Today: a process that crosses three systems and stalls between them.

With a system: each step triggers the next, with approvals where they matter.

Internal knowledge

Today: staff asking the same questions, answers buried in documents.

With a system: one place to ask, answers with the source.

Questions

Ten questions.
Answered before you ask.

01What is the AI Adoption Grant?

A Scottish Enterprise grant of £2,500 to £25,000 covering up to 50% of eligible costs for a clearly defined AI project. Competitive, not guaranteed, free to apply. Official sources: AI Adoption Grant — grant details verified on 16 September 2026 · AI Adoption Programme for SMEs · Scottish Enterprise

02Who can apply?

SMEs with more than 10 employees based in the Scottish Enterprise area (most of Scotland: Glasgow, Edinburgh and the Lothians, Fife, Stirling and Falkirk, Dundee, Perth and Angus, Aberdeen City and Aberdeenshire, Lanarkshire, Ayrshire, Renfrewshire and Inverclyde). Highlands and Islands, Moray, Argyll, Dumfries and Galloway and the Borders have their own agencies.

03What does it fund?

Identifying opportunities, assessing feasibility, piloting, implementing or scaling AI, staff training and governance. Not routine IT upgrades, off-the-shelf software or business as usual.

04Can it pay an external supplier like Visionator?

Implementing AI solutions is a listed activity, so external delivery is normally an eligible project cost, subject to Scottish Enterprise’s assessment of your application.

05What are the deadlines?

The project must be approved before any funded work starts and completed by 31 March 2027. Assessment times vary, so earlier enquiries leave more room.

06Are the numbers on this page a quote?

No. They are indicative ranges from our pricing and an estimate of staff time freed up, based on what you told us. The written proposal carries an indicative price; the final price is confirmed once we’ve looked at your systems and data together.

07How much does an AI project cost?

Single-workflow systems typically run £8,000 to £20,000 depending on integrations and data. Feasibility projects from £5,000. Larger multi-process projects up to £50,000.

08What happens after I request a proposal?

You receive your brief and enquiry text by email within minutes, and a written proposal within two business days. It sets out scope, timeline and an indicative price; the final price is confirmed once we’ve looked at your systems and data together. If something in your brief needs clarifying first, we’ll email you a couple of questions before we send it. No sales call required at any point.

09Do I need to know anything about AI?

No. You need to know which process costs you the most time. We handle the rest, and we explain every decision in plain terms.
